Booking & Session Policy

Client

The person who books the session will be referred to as the client. The client must be 18 years of age or older. When booking the session, the client agrees to give accurate and truthful information to the best of their ability on any and all intake forms, questionnaires, contracts, etc. In signing the contract, the client claims they have read and agreed to all policies provided by the photographer. The client will give consent for services on behalf of any and all participants of the photography session. The client is responsible for any costs (if required) to get them and their participants to the location of the session (i.e., entrance fees, parking fees, etc.). The client understands that the photographer is not liable for any damages, losses, or injuries that may occur during the event or session. The client assumes full responsibility for any damages, losses, or injuries caused by themselves or their participants.

Photographer

Rachel Martin of Countrified Captures will be referred as the photographer. The photographer will respond to any booking requests, inquiries, and/or messages within 48 hours (with the exception of severe illness, family emergency situations, or the like). The photographer will email the invoice to the client within 72 hours of the booking. On the day of the session, the photographer will ensure all equipment is working properly, batteries are charged, and memory cards have sufficient space. The photographer will capture and edit all images in a professional manner and to the best of her ability. The photographer will release a "sneak peek" of 1-3 edited digital images to the Business Facebook page within 5 days of the session. The photographer will release at the minimum allotted edited digital images in an online gallery to the client within 3 weeks of the session.

Ownership of work Policy

As the photographer, Countrified Captures will own all rights, title, and interest in all photography captured, edited, and created. The client (on behalf of themselves and any participants at the session) will grant the photographer and any of its service providers an exclusive, royalty-free, worldwide, irrevocable, transferable, and sublicensable license to use any unedited, edited, or created product in any format or medium taken during the scheduled photography session for the use of marketing, advertising, or promotion of the photographer's services, including the photographer's studio, portfolio, website, or social media. The client acknowledges and affirms that no other person or entity has any rights that may prevent or restrict the photographer from using said product.

Print release Policy

As the photographer, Countrified Captures will grant the client an exclusive, limited, irrevocable, royalty-free, non-transferable and non-sublicensable to use any and all images released to them for personal use. Personal use includes, but is not limited to, use (i) of photos on client's personal social media pages or profiles; (ii) in client's personal creations, such as scrapbooks, albums or personal gifts; (iii) in non-commercial physical display; and (iv) in personal communications, such as family newsletter, email, or holiday card. If client is using services for professional headshots or personal branding other rules and/or regulations may apply. The client will not make any other use of the images released or alter the images released in any way without the photographer's prior written consent, including but not limited to use of the released images for commercial sale. The client also understands that although many photos were taken during the session, they are only entitled to the allotted number of edited digital images. The photographer may release more than the allotted number of edited digital images but is not required to. The client may use any and all released images on the photographers provided print store, or print stores such as Shutterfly or Walgreens Photo, etc. The client must tag @CountrifiedCreationsLLC in any and all social media posts including the released images.

Payment policy

Retainer

To reserve the date and time for a session, a $30 retainer fee is required at the time of booking. This payment must be made online via the initial invoice. This fee will be applied to the client's invoice and is non-refundable.

Invoice

An invoice will be emailed to the client within 72 hours of booking. If the client has not seen this email with the invoice after the 72 hours of booking, please check the junk mail folder and contact the photographer at captures@countrifiedcreations.com. The initial invoice will list the session cost that was discussed at the time of booking. Once the retainer fee has been collected and the questionnaire have been collected, and updated invoice will be emailed. This invoice will list the session cost, any add-ons that have been requested by the client, and will reflect the retainer fee applied. The invoice will be due in full at the time of the scheduled session and can be paid through the invoice online, through Venmo (@Countrified_Creations), or in cash. Payment reminders will be emailed 7 days before the due date and on the due date. Any invoices not paid by the end of the session will incur a late fee of $25 per month on the outstanding balance. The final amount due may be subject to change if any changes are made during the session. If there is a cancellation or reschedule fee applied, an updated invoice will be emailed to the client. Invoices with cancellation fees will be due in full with in 30 days of the issue date.

Add-ons & Fees

• Additional 30 minutes added to session: $50
• Additional 60 minutes added to session: $100
• Allowed time for outfit change: $25
• Add a second location for session $25
• Expedited delivery of edited final images fee (1 - 1 1/2 weeks after booking)

- Mini Session & Half Session: $50

- Full Session: $100

Rescheduling & Cancellation Policy

If the client needs to reschedule or cancel the scheduled session for any reason, he or she is to reach out to the photographer at captures@countrifiedcreations.com. For cancellations done at least 7 days before the date of the session, there is not a cancellation fee . However, the retainer fee will not be refunded. Cancellations made within 7 days of the scheduled session will be charged for the full service. Rescheduling the session can be done at no cost as long as it done 24 hours in advance. If the client need to reschedule within 24 hours of the scheduled session, there will be a $50 reschedule fee. In certain circumstances this fee may be waived; that is up to the photographer's discretion.

rescheduling Due to Weather

Indiana weather can be very unpredictable. Photo shoots will continue as planned as long as there are not inclement weather conditions such as raining, lightning, high winds, or temperatures of <0° windchill or >100° heat index. If it looks like there may be any of these conditions, the photographer will reach out to the client to reschedule the session at least 24 hours in advance. If inclement weather unpredictably occurs within the 24 hours notice, a reschedule fee will not be charged.

Countrified Captures Policy

The rights of Countrified Captures belong to Countrified Creations, LLC and its owners, Rachel Martin and Taylar Huffman. Any and all policies have been developed by the owners.
